Event Sales Support Specialist
GNA, the nation's leading clean transportation and energy
consulting firm, is seeking an Event Sales Support Specialist, with
a background in the transportation and/or clean energy sector, or a
related field, to join our growing team based in our Santa Monica
office. This is an exciting opportunity to leverage your proven
Sponsorship and Exhibit Sales administrative acumen to help drive
adoption of zero-emission commercial vehicles across a range of
industries.

In this Event Sales Support Specialist role, you will be
responsible for all sales support, sponsor/exhibitor relations and
administrative tasks after the sale has been confirmed for event
exhibitors and sponsors. The Event Sales Support Specialist is
responsible for aspects of exhibitor and sponsor fulfillment, and
the go-to person, knowing all essential show elements and event
details to provide to exhibitors/sponsors. our conference & events
where you will work side-by-side with team members that are
collaborative, inquisitive, and dedicated to quality. This position
reports to the Senior Vice President of Sales & Events.
Your Responsibilities Include:
--- Support the Senior Vice President of Sponsorship Sales & Events
with after the sale support and administrative tasks.
--- Maintaining and filing up-to-date sponsor and exhibitor
contracting and deliverable records
--- Coordinates and manages all exhibitor needs to include service
kits, sponsorship fulfillment, and compliance with all facility
requirements.
--- Contact exhibitor/sponsor after contract execution to provide
all pre-event information including confirmation letter, invoice,
online exhibitor manual, hotel, staff registration codes using the
online A2Z Events system.
--- Work with accounting to capture received payments and keep
budgets up to date in sponsor revenue budget.
--- Ensure the accuracy of sponsor/exhibitor information on event
websites, marketing materials, exhibitor portal, and on-site
materials.
--- Provide "real-time" customer service and communications
pre-show, on-site, and post-show to ensure a successful event for
sponsors/exhibitors.
--- Maintain the sponsor/exhibitor contacts & deliverables tracker
and share updates with the events and marketing teams.
--- Communicate and confirm on-site deliverables with Vice
President of Events prior to production.
--- Sponsor/exhibitor relations - Support event and marketing
coordination, pre-show, on-site, and post show, as needed.
--- Maintain online exhibitor services software (A2Z Events system,
audit floor plan, booth information, upload exhibitor forms).
--- Onsite at Events - Be a concierge to exhibitors and be
available to assist them as needed throughout the show.
--- Travel to the event to assist on-site logistics, production,
and operation of overall event to include exhibitor registration
desk, exhibitor move-in, ride & drive and other onsite events as
needed.
--- Other duties as assigned.
Qualifications:
First and foremost, we are looking for a team member that is
passionate about making the world a better place and has a strong
commitment to environmental sustainability
--- Minimum of two years of customer service experience supporting
conferences/trade shows/expositions; advertising industry segments
preferred
--- Excellent communication skills, both verbal and written, with a
strong focus on customer service.
--- This position requires an individual with strong project
management skills, multi-tasking abilities, and high attention to
detail.
--- Highly organized with excellent ability to prioritize, balance
multiple projects at once, and manage up to multiple
individuals.
--- Self-motivated, with the ability to work both independently and
in a team-oriented environment.
--- Proficiency in Microsoft Office Suite, particularly Excel and
Word.
--- Experience using event management software such as A2Z Events,
Cvent, or similar.
--- Strong analytical skills and experience in revenue tracking and
reconciliation.
--- Ability to quickly learn new technology
--- Ability to professionally represent GNA, and interact with
clients in a polished, responsible, and timely manner.
--- Able to walk, sit, stand, kneel, crouch, crawl, reach, lift,
carry, push, pull, or otherwise move objects.
Compensation & Benefits:
This full-time, staff position offers an annual salary, commission
opportunities, as well as a full benefits package, including
medical, dental, vision, life, and long-term disability insurance
on the first day of the month after hire. We also offer 401(k)
plans and performance-based bonus opportunities.
