Position Overview: (summary of main purpose of the job)
This person is responsible for the daily coordination of several projects within the scope of the department of Auxiliary Services. The ideal candidate needs to be able to work in a fast-paced environment and use calm, sound judgment in all situations. In addition, this person must also possess and demonstrate the following:--

  • Comfort in an educational setting where children and adults are present Primary Projects:--
    Maintaining data for the school's Master Calendar:
    This person is responsible for the collection and dissemination of information regarding the calendar events that take place in an extremely busy K-12 school with a very complex calendar and is for the details and oversight of the data for all school events and the input of this data in several calendar platforms. The ability to understand the campuses, buildings, and rooms along with events details and constituent participation is necessary to ensure the accuracy of the overall process. Ability to make decisions on space management.--

    Oversight of Outside Rental use of the Campuses:
    This person will respond to solicitations from prospective rental clients, determine availability of requested facilities, calculate cost estimates and complete paperwork to properly secure the requested spaces. Occasional night and weekend hours are required to support on-campus events, to be compensated to employee at appropriate overtime pay rate. Essential Job Functions:
    • Daily data input into multiple calendaring programs with focused and impeccable attention to detail.--
    • --Ability to lead bi-weekly data review meetings with 15-20 staff (master calendar reps).
    • --Email and phone communication with staff from all divisions of the school and outside clients and vendors.
    • Ability to solve scheduling conflicts and resolve issues.--
    • Ability to prioritize and handle multiple projects and tasks.
    • Ability to manage confidential situations.
      Additional Responsibilities:
      • Serve as the Master Calendar representative and create facility use forms for all events scheduled by the Auxiliary Services office including summer programs, food services and facility rentals.
      • Coordinate and oversee the building of the following school year calendar and maintain the major dates files.
      • Review facilities use forms for food vendors on campus and maintain insurance files.--
      • Support other projects within the Auxiliary Services department.--
        Required Qualifications: (Skills, experience, education/certification, etc.)
        • Must be proficient in Microsoft Office Programs. Outlook and Excel are used daily.
        • --Minimum of 5 years work experience in a fast paced, data management and customer service role.
          Physical Demands:
          • --Ability to lift 25 pounds
          • Ability to sit a desk for long periods of time
          • Must wear a mask at all times, based on LA County guidelines for K-12 Schools.--
            Other Requirements:
            • --COVID vaccination will be required for this position unless candidate has a legally valid exemption.
