Position Overview :

Our busy Santa Monica office is looking for a long-term, professional and energetic individual to fill the role of Administrative Assistant. In this position, our Administrative will be responsible for maintaining all incoming communications including phone calls, mail and visitors. You Have (Requirements):
High School diploma or equivalent. (Associate's Degree or higher preferred)
1-2 years' experience in customer service role in an office setting (professional services preferred)
Strong proficiency with Microsoft Office tools (Outlook, Word, PowerPoint, and Excel)
Full knowledge of general office items like: phone system, fax machine, copier, and postage meter
Ability to walk 10-block radius of office for general errands
Physical ability to lift and carry 35 - 50 lb box (the equivalent of a case of copier paper)
Ability to handle multiple tasks in a fast paced environment where priorities may change daily
Excellent oral and written communication skills
This is an in-office position and you must be fully vaccinated. BPM's normal business hours are Monday - Friday, 8:30am - 5:30pm PT (with some additional hours on an as needed basis)

You Will (Job Responsibilities):
Open office doors promptly at 8:30am
Greet clients, staff and other visitors to the office, and connect them with the appropriate staff member in the office
Answer main office line and answer caller's questions, route and/or take notes; handle calls as expeditiously as possible
Manage a high volume of incoming and outgoing mail which includes: tracking incoming and outgoing packages, certified mail, and routing via multiple mail carrier services
Manage multiple conference rooms with scheduling, event set up/tear down, service requests, etc.
Assist with office events and functions like; birthday events, social office activities, client meetings, training events, corporate service events, and other events as they come up
Assist the various practice groups with administrative tasks on an as needed basis at peak times of business (typically during tax season and extension season)
Assist with BPM training set up and calendar for training rooms
Reconcile vendor invoices for manager approval
Assist admin department with assembling tax returns, preparing and processing engagement letters and general administrative processes

BPM COVID Vaccination Policy
